Things to think about when choosing project management software (Patrick Rocca)

Feb 26, 2011

Project management software has persuaded you of its advantages, but the hard part is determining which package is best for your business. The fact that there are hundreds of options available will undoubtedly make it difficult for you to choose the perfect package.

The first thing to work out is the use of the software. Don't invest in project management software if you think it will sort out some problem you're already having. Make sure that everything is in place before you make the jump. By doing this, you can take time to research a software package that will run in tandem with your business.

Examine the scale of your project - are you going to support a team? Are you sharing information? Are you affecting the whole of your company with this software? Will you be working from a central location or will you need remote access? If you decide that your project management tasks are not meant to grow, limit the amount of money you spend. There is no point paying over the odds for functions you will never use. The budget within a project is crucial so your software should provide the capability to estimate money and resources at every stage. Software should also be able to create status reports from basic total project cost to more advanced ones like POS software.

After you have identified your businesses' needs, define your selection criteria and create a list of options. Request information on the different software packages that would suit you, evaluate the responses you receive and then reduce your list of options. Following this, look at your management team's approach to project management and purchase a product that suits their particular style. Think carefully about your budget and whether you are able to support the software as an organisation.

Ultimately, make sure you are realistic about your goals. Don't be unrealistic about what can be achieved in the first phase of implementation but be positive about the future possibilities of what you can achieve with your new project management software tool.
